NOTICE REQUEST FOR PROPOSALS

TOWN OF CHESTER

HYBRID MEETING ACCESS AND

AUDIO / VISUAL SYSTEM EQUIPMENT AND INSTALLATION

FOR TOWN HALL & MEETING HOUSE

 

Project Background and Audio / Visual Objectives

The Town of Chester is seeking to improve and upgrade the overall audio and visual components in the Town Hall (203 Middlesex Avenue) and Meeting House (4 Liberty Street). Much of the equipment used in both locations is aging and in need of upgrade or replacement. The Town currently has limited equipment to preform presentations and hybrid meetings.

 

Scope of Work

 

  • Analyze and recommend options to improve and expand Town Hall and Community Room wireless. In the Community Room specify and provide cost estimate for wireless access equipment for video and audio equipment (cameras, speakers, and monitors) compatible with and networked with current IT systems in Town Hall. Include all subscription and management requirements and yearly recurring costs.
  • Analyze and recommend options to establish networking and wiring for a wireless system in the Chester Meeting House to facilitate the presentation of hybrid public meetings. Identify projector, screen and cart equipment necessary for video/audio conferencing. Include all subscription requirements and management and yearly recurring costs.
  • To assure a seamless network the selected vendor will be required to coordinate all equipment installation, operations and management of the Town computer system with CT Comp, Chester’s current IT contractor.

 

Qualifications

Qualifications for the proposers are as follows:

  • Minimum of ten (10) years of experience in the audio-visual installation business.
  • A demonstrated history of similar services as requested herein.

 

Preparation and Submission of Proposals

  • Access for inspection of the Town Hall and Meeting House can be arranged through the office of the First Selectman. 860-526-0013 Ext. 202.
  • Proposals should be addressed to the First Selectman, Town of Chester, Town Hall, 203 Middlesex Avenue, Chester, CT All submittals should be clearly marked “Chester Town Hall and Meeting House IT Upgrades”
  • Submit 2 copies of your proposal, including a letter of interest together with general information on the firm and any sub consultants, experience, references, and a resume of key personnel.
  • Proposals must be submitted by noon on August 19, 2022.
